Day to day

Get paid by bank transfer and in cash

Guests pay you directly into your account or on arrival. Roomii never touches your money: you set where you get paid and confirm when it arrives.

How it works

Your guests can pay you in two ways, and you choose which ones you offer:

  • Bank transfer: the guest books, sees your accounts, makes the transfer and uploads the receipt. You check that the money arrived and approve it.
  • Pay at the property: the guest books without paying and the booking is confirmed instantly. You record the payment when they pay you.

The money always goes straight to you. Roomii doesn't charge a commission per booking.

Set up bank transfers

  1. Go to Payments and find the Bank transfer and cash card.
  2. Tick Accept bank transfers on web bookings.
  3. In Accounts for bank transfers, fill in Bank or wallet, Type (savings, checking, Nequi, key…), Number or key, Account holder and the Account currency. Use Add account to add another one (up to 5).
  4. If you like, write Instructions for the guest (optional), for example "Write your booking code in the transfer description".
  5. Click Save.

Time to pay

In Hours the spot is held you decide how long the guest has to make the transfer and upload the receipt (from 1 to 168 hours; 24 by default). If they don't upload it in time, the booking expires and the dates become free again. If they do upload it, the spot isn't released while you review it.

Deposit

In Deposit to confirm (%) you choose how much the guest has to pay for the booking to be confirmed: 100% to charge everything up front, or for example 50% and the balance on arrival.

Allow paying on arrival

Tick Allow booking and paying at the property and save. The guest will see the Pay at the property option, their booking is confirmed without paying and it shows with the Pays on arrival label. If they don't show up, you can cancel it.

Review a receipt

When a guest uploads a receipt you get an email, and in Overview you'll see the notice about bookings with receipts to review.

  1. Open the booking. You'll see the notice The guest sent a transfer receipt and the payment Under review with its receipt.
  2. Check in your bank or wallet that the money really arrived.
  3. If it did, click Approve. Correct the Amount received in your account if it's different and click Confirm approval. When the approved amount covers the deposit, the booking is confirmed and the guest gets their confirmation email.
  4. If it didn't arrive or the receipt isn't valid, click Reject, write the Reason (sent to the guest) and click Reject receipt. The guest gets an email and more time to send another one.

Record a payment yourself

For cash payments, the balance paid on arrival or a transfer someone sent you over WhatsApp:

  1. Open the booking and click Record payment.
  2. Choose the Method: Cash or Bank transfer.
  3. Check the Amount (it comes pre-filled with the outstanding balance) and the Payment date.
  4. If you like, add a Reference / receipt, a photo in Receipts (optional) and Notes (optional).
  5. Click Save payment. It's approved immediately.

You can't record more than the outstanding balance.

Other currencies

If your rates are in pesos but you also accept, for example, US dollars:

  1. In Other currencies you accept, click Add currency.
  2. Choose the Currency and enter the exchange rate, for example 1 USD = 4,000 COP.
  3. Add an account with that Account currency and save.

You and your guests will be able to record payments in that currency, and they're deducted from the balance converted at that rate. Changing the rate doesn't affect payments already recorded.

Frequently asked questions

My page says it isn't taking online bookings

Check in Payments that you have bank transfers turned on (with at least one account) or payment at the property. The message at the top tells you whether you're receiving payments.

The guest transferred less than they should have

When approving, enter the amount that actually arrived. The booking will show the balance and, if it doesn't cover the deposit, it will stay in Payment pending. Ask the guest to complete the payment soon: if the time to pay runs out, the booking expires.

Can I accept credit cards?

For now, payments are made by bank transfer or at the property. If you're interested in accepting cards, write to us.
