Day to day

Arrival info

Your guests get everything they need to arrive and get in by email, without having to message you.

Set up your arrival info

This is what your guests need to arrive and get in without messaging you: the door code, the Wi-Fi, where to park, the house rules and what to do when they leave. Roomii emails it to them before they arrive, with a link to a page that shows it all.

  1. Go to My property → Arrival.
  2. Under Access, type the Door code and the Entry instructions (for example, where the key box is). Use Add photo to upload up to 6 Entrance photos so guests can find the door.
  3. Under Wi-Fi, type the Network name and the Wi-Fi password.
  4. Fill in whatever applies: Getting here and parking, House rules, Check-out (where to leave the keys, the trash…) and Emergencies with an Emergency phone.
  5. Under Sending, tick Send arrival info automatically and choose in When to send it: on arrival day or 1 to 3 days before.
  6. Click Save changes.

Everything is optional: the email and the page only show what you filled in. The address, the map, your WhatsApp and the check-in and check-out times come from Public page and Policies, so there's no need to repeat them.

Different codes per room type

If each room type has its own code or its own instructions, use the By room type card at the bottom of the Arrival tab:

  1. Find the room type in the list.
  2. Type its Room code and, if needed, its Room instructions (for example, "second floor, blue door").
  3. Click Save changes.

The guest sees the general door code and, on top of it, the code for their room type.

When your guest gets it

With automatic sending on, the email goes out once per confirmed booking, on the day you chose in When to send it, between 8:00 and 21:00 in your time zone. If someone books at the last minute, they get it as soon as it's due, even if they just received their confirmation.

The email includes the code, the Wi-Fi and how to get in, plus the See all the details button, which opens the page with the photos, the rules and check-out. Guests can also find it on their booking page, with the View arrival info button.

If you tick Require online check-in, the email is only sent once the guest completes their online check-in. Until then, if they open the page, we ask them to do it first.

Send it yourself from the booking

You can send it whenever you like, without waiting for the date, even if automatic sending is off:

  1. Go to Bookings and open the booking.
  2. In the Arrival info section, click Send now (or Resend if it was already sent).
  3. If you'd rather send it on WhatsApp, click Copy link and paste it into the chat.

Next to the title you can see whether it was sent and when, or the day it will go out automatically. When you send it yourself, the guest can see it right away, even if their arrival is days away or they haven't checked in.

Who can see your codes

The door code and the Wi-Fi password are stored encrypted. Only the people on your team who can open My property and the guest, with their booking's personal link, can see them. The booking code and email alone don't show them, and before the date you chose the page doesn't show them either.

Frequently asked questions

What happens if I change the code?

The page always shows the current code: save the new one and the guest sees it when they open their link. The email they already received keeps the old one, so click Resend on bookings arriving soon.

Can my front desk team send it?

Yes. The front desk can't open My property, but from the booking they can click Send now or Copy link. Only the owner can change the info in My property → Arrival.

Does it replace the pre-arrival reminder?

No, they're different emails. The reminder goes out a few days before with the dates and the address; the arrival info has the codes. You can use both or turn off the reminder in Guest emails.

The guest says they didn't get it

Ask them to check their spam folder and confirm the email on the booking. Then click Resend or Copy link and send it to them on WhatsApp.
