Day to day
Online check-in
The law requires you to register each guest with their ID document. With Roomii, they fill it in on their phone before arriving and you have it ready in the booking.
What online check-in is
In almost every country you have to register each guest with their ID document. With online check-in, your guests fill in that registration on their phone before they arrive, the main guest and everyone traveling with them, and you have it ready in your dashboard. There's nothing to turn on: it works on every confirmed booking.
The form depends on your property's country:
- Colombia: the details for the hotel registration card (TRA) and the Migración Colombia report: ID document (citizenship card, foreigner ID, passport, PPT…), nationality, date of birth, residence, the city they're coming from and going to, and the purpose of the trip.
- Spain: the traveler register details: sex, ID document with its support number (DNI or NIE), nationality, date of birth, address, and the main guest's phone and email. Children under 14 don't need a document, and minors state their relationship to the main guest.
- Other countries: name, nationality, ID document and, if they want, date of birth and country of residence.
Send the link to your guest
Each booking has its own link to the form. Your guest also finds it on their booking page, with the Check in online button.
- Go to Bookings and open the booking.
- In the Check-in section, click Email link. Your guest gets an email with the Check in now button.
- If you'd rather send it by WhatsApp, click Copy link and paste it in the chat.
The guest fills in the details of everyone on the booking, types their name as a signature and clicks Send check-in. They can correct it until their check-out day.
Want your guests to check in before they get the door code? Tick Require online check-in in Arrival info.
Review and complete the registration
In the booking details, the Check-in section shows how it's going:
- Pending: nobody has filled it in yet.
- 1 of 2 guests (for example): some people still need to be registered.
- Complete: everyone on the booking is there. If the guest filled it in, you see who signed and when.
If the guest arrives without filling it in, or something needs fixing, do it yourself at the front desk:
- In the Check-in section, click Fill in check-in (or Edit if it already has details).
- Complete the details. Add guest adds a companion and Remove takes one out.
- Click Save. If the guest had already signed, their signature is kept.
The main guest's document number is also saved in the booking's ID document field and in their profile in Guests.
Report to the authorities
Online check-in gets all the details ready for you, but you still file the report on your country's platform: TRA and SIRE in Colombia, or SES.HOSPEDAJES in Spain. Open the booking and copy each guest's details from the Check-in section.
